Horse of the Year Show is fast approaching and it is that time of year when information regarding your sponsorship contract is required. In order to ensure you have everything you need; please complete the below form by Friday 1st August 2025 along with all related artwork and images.

Filling in this form

  • Individual access to designated seating in the Andrews Bowen International Arena, TopSpec Arena, access to Champions Bar and the Retail Village for the show duration.
  • If you would like to purchase any additional Sponsor Badges at £365.00 +VAT each, please contact Sian; sian.nash@grandstand.co.uk
  • Please note the following:
    • Sponsor Badges are allocated to the individual ONLY. Under no circumstances are Sponsor Badges interchangeable. In addition, Sponsor Badges do not allow the holder to escort guests.
    • A passport style photograph is required for each individual with a Sponsor Badge. Images must be sent by the 1st August 2025 to our Commercial Team.

Programme Advert

All advertisements should be supplied to the following specifications:

  1. When supplying advertisements please supply as a high-res PDF. A separate PDF should be supplied for each page/advert.
  2. All files must have all objects and fonts embedded
  3. All high-res images must be embedded as CMYK colours only
  4. Images should be supplied to a minimum resolution of 250dpi (650dpcm)
  5. Files should be prepared with trims centred, and registration trim and bleed marks included
  6. Double page spreads should be saved as individual PDF pages with 5mm bleed on all edges

Trim size – 210 x 297

Half page horizontal

Dimensions – 190 x 136

Screen Advert

  • PowerPoint slide presentation or video
  • 16 x 9 widescreen format
  • Email or file transfer
  • Alternatively, you could supply it as a WMV file if it is in a video format.

Signage

Size – 16ft x 2ft6” (manufactured in two 8ft sections)

Material – 3mm (min) Foamex with full extent 2”x1” battening on all 4 rear sides

  • Please email Sian Nash your new artwork and once signed off by the signage supplier we will get the new sign ordered. N.B please add on 20mm bleed to all 4 sides of the artwork.
  • If artwork needs to be created/re-sized by the supplier you must supply your artwork/logo as EPS, Vector or ai files as these can be re-sized. PNGs or JPEGs will not suffice.  Additional charges apply if you wish to have your artwork created/re-sized by the supplier.
  •  £362.00 + VAT per board (this is a one off payment and includes the manufacturing, storage and delivery of the board moving forward)

Commentary Notes

Commentary notes should be a maximum of 5 bullets points, and each bullet point should contain a maximum of 100 words. If notes are not provided in this format, they may be changed to reflect the commentators’ requirements.

Presentation

Please ensure that presenters contact Sian Nash on 07458 104 312  from the Commercial team 30 minutes before the class ends to arrange a meeting point

  • Smart casual

    Arena for where to meet 30mins before presentation.
Andrews Bowen International Arena
  • Lounge suits NO JEANS OR TRAINERS (Wednesday – Sunday Daytime, Wednesday & Thursday Evening)
  • Black Tie (Friday, Saturday & Sunday Evening)
  • Please see below map, unless organised on the day please meet in the Press Office and Sian will escort you down to presentation
  • Alternatively, if you are in hospitality the presentations team will come and collect you 5 minutes before the class presentation.

  • Times are liable to change. Please ensure that you are available 30 minutes prior to the class finishing. 
  • Grandstand Media Ltd is unable to delay any presentations and does not accept responsibility for missed presentations.

Branded Rosettes & Prizes

  • Sponsors have provided fantastic prizes in the past. We are happy to organise the production of rosettes, sashes and trophies on your behalf from our preferred suppliers.  All orders will be charged to the sponsor (unless otherwise agreed within your contract). 
  • If you are organising the production of your rosettes, rugs and prizes please email full details to Sian; Sian.nash@grandstand.co.uk. Delivery should be made to the Grandstand Media Office by no later than W/C 15th September 2025.
