Grandstand Media Ltd, a company registered in England under number 2889798 with registered office at: Grandstand Media Ltd, Stoneleigh Park, Kenilworth, Warwickshire, CV8 2LZ ("we" or "us") is the organiser of Horse of the Year Show under licence from British Showjumping. We operate the website at www.hoys.co.uk ("the Site").

In this Privacy Statement: references to "you" means any person submitting any data to us or this site about himself or herself or about any other living individual in respect of any use of the site; and "Horse of the Year Show" means the show under that name which we run periodically.

When you use different aspects of the site, we may ask you to supply us with various information about you, your property or anyone who you represent. This Privacy Statement sets out the way in which we may use such information.

Data that we collect

We may collect various information, including but not limited to some or all of the following: your and your party's names, gender, e-mail addresses, postal addresses, telephone numbers, fax numbers, dates of birth, vehicle registration details, dietary requirements, property details and descriptions, payment card details and whether you are a smoker. We need the information in order to allow you to go ahead with your use of a particular part of the site, enter a competition, take part in a discussion forum, order services or products or ringtones from or through us, obtain material from us, upload material onto the site, and advertise. In addition, we use that information to decide whether to go ahead with your desired use of the site, to process your entries and orders and provide and plan and manage Horse of the Year Show and the site, to collect payment from you, to enable you to subsequently use parts of the site, to detect any fraud or site abuse, to send you information relevant to Horse of the Year Show (including ticketing, hospitality, accommodation and merchandising), in case there is any servicing required and in case we have any queries. 

If you take part in a competition, we may publish certain information (by any means an in any media) about the winner, including on publicly available websites such as at the site, for example name, general locality of your address (for example county), results and prize. 

If you order hospitality or accommodation through the site, we may pass on the information you supply to the hospitality or accommodation provider.

If you are an advertiser, sponsor or trade stand holder, we may publish on the site certain information that you provide to us, and we may also publish that material in our other promotional and marketing material.

We may also use the information you give to us to send products, services, ringtones and tickets which you order and any prizes that you have won.

By publishing your data on our websites or our promotional and marketing material, this information may be accessible internationally including in countries outside the European Economic Area. Some places outside of the EEA may not have adequate data protection laws at all or may offer differing levels of protection of personal information which are not as high as in the UK. By submitting your data to us, you acknowledge that provided we have used your data in the ways set out in this Privacy Statement, we cannot be held responsible for any use of your data by third parties who receive and process your data.

We may further collect or allocate to you and you may change a username and password to use restricted parts of the site. We use that to enable you or anyone you represent or who represents you to access your restricted parts on the site.

We may pass your details to other companies in our group. We may also pass your details to our agents and subcontractors to help us with any of our uses of your data set out in our Privacy Statement. For example, we may use third parties to assist us with providing the administration for running the Horse of the Year Show to enable us to collect payments from you, to analyse data and to provide us with marketing or customer service assistance.

We store your personal details on a secure server. We use firewalls on our servers.

We reveal only the last four digits of your credit or debit card numbers when confirming an order to you, but of course we transmit the entire card number to the appropriate card company for collecting payment.

We maintain physical, electronic and procedural safeguards in connection with the collection, storage and disclosure of your information. Our security procedures mean that we may occasionally request proof of identity before we disclose personal information to you.

You are responsible for protecting against unauthorised access to your password and to your computer.

Cookies

Additional Terms and Conditions Regarding Hotel Room Purchases

Check in time for your room will be dependent on each hotel and should be checked on the time of booking.

This booking, once accepted, is non cancellable and non refundable however it may be possible to amend the booking at the discretion of Grandstand.

Breakfast is included with all bookings.


Parking is not guaranteed with this booking and may be additional cost payable directly to the Hotel. 

On departure, guests must vacate their rooms and check-out by no later than the specified time, dependent on each hotel. Failure to do so will entitle the Hotel to charge for an additional night at their standard rate.

Price lists for additional items, such as Restaurant meals and Room Service, are on display at relevant locations in the Hotel and available on request.

The Hotel reserves the right to refuse a guest entry and accommodation if, on arrival, management reasonably considers that the guest is under the influence of drink or drugs, is unsuitably dressed or is behaving in a threatening, abusive or otherwise unacceptable manner.


The Hotel reserves the right to require a guest to leave if he/she is causing a disturbance, annoying other guests or Hotel staff or is behaving in an unacceptable manner.


Guests shall comply with all reasonable rules and procedures in effect at the Hotel, including but not limited to health and safety and security procedures and statutory requirements as to registration.

Guests shall not bring their own food or drink into the Hotel for consumption at the Hotel.

Children under the age of 14 must be supervised by an adult guest at all times.

Domestic Pets in the guests rooms are at the discretion of the hotel, guests are advised to check with the specific hotel regarding their policy for pets.

Whilst all reasonable efforts have been taken by us to ensure that Bookings made under this Agreement are able to proceed, we reserve the right to relocate any Booking to another hotel of similar size and standard in the locality. In making this booking you acknowledge that we and the Hotel accept no liability for any loss or damage suffered by or caused to you in consequence of your relocation.

We shall not be liable for any failure or delay by the Hotel in performing any of its obligations under this Agreement including (without limitation) war or threat of war, civil or political action or disturbance, riot, natural disaster, fire, epidemic, bad weather, terrorist activity (threatened or actual), military activity, governmental or regulatory action, industrial dispute, act of God, failure of power or machinery, failure of or interruption in externally provided services and utilities, and all similar events outside the Hotel’s control.

Guests will be liable for any loss, damage or personal injury they may cause at the Hotel.

 

Additional Terms and Conditions Regarding Speciality Ticket Purchases; including Season Tickets, M&M and Champions Bar tickets

 

Hospitality

Tickets are non-cancellable and non-refundable once a booking has been accepted.

 

You may change performances subject to availability and paying in advance any difference in price between the original purchase and the value of the new booking. There will be an administration charge of £15 per ticket for any changes made.

 

This booking is also subject to the terms and conditions of the National Exhibition Centre   www.necgroup.co.uk/terms-conditions 

 

We reserve the right to refuse admission to Horse of the Year Show to any person or to withdraw permission at any time to remain on the grounds, and shall not be required to give any reason for such action.

 

The allocation of seating in the hospitality area is made strictly at our discretion.


All other

All tickets cannot be refunded unless an event is cancelled or rescheduled so please check your tickets carefully on receipt and contact us immediately if you have any queries.

 

Grandstand Media Ltd is not liable for lost, destroyed or stolen tickets and cannot guarantee to replace them. This applies to all tickets and accreditation: Sponsors Badges, Hospitality Tickets, Season Tickets, M&M tickets, Champions Bar Tickets and special packages. 

 

All accreditation, including season ticket badges, are for exclusive use of one person. Tickets are not transferable and their resale for profit or commercial gain (except by us or our authorised sub-agents) or use in promotions or packages without the express permission of the organiser is prohibited and may render them void.

Please check details such as timings and car park charges with the venue before travelling, as these may be subject to late changes.

You must produce a valid ticket to attend the event and removing parts of, defacing or otherwise altering your ticket may render it void.

If you experience any problems with your seating or enjoyment prior to or during the event, please inform Grandstand staff immediately as issues cannot always be resolved after the event. 

The unauthorised use of cameras, video or sound recording equipment is prohibited at the event and such items may be confiscated.

By attending the event you consent to being filmed / recorded as part of the audience for security and broadcast, without payment.
